Refunds & Cancellations
At Kick Start Movements, we understand that plans can occasionally change. This policy explains how cancellations, refunds, booking credits, transfers, missed sessions and programme disruptions are handled across our camps, In-Term School Classes, classes, programmes and events.
Different cancellation terms may apply depending on the type and duration of the programme booked. By completing a booking with Kick Start Movements, parents and guardians agree to the terms outlined below.
Booking Confirmation
A booking is considered confirmed once:
-
Payment has been received in full, or as otherwise agreed;
-
A booking confirmation has been issued; and
-
All required registration information has been completed.
​
Places are limited and may be allocated on a first-come, first-served basis.
​
Once a place has been booked, Kick Start Movements may make staffing, venue, equipment and programme commitments based on confirmed participant numbers
Camps & Short-Term Programmes
Parent/Guardian Cancellations

More than 14 days before the start date
Where a cancellation request is received more than 14 days before the programme start date, parents or guardians may be offered:
​
-
A transfer to another available camp or programme;
-
A booking credit for future use; or
-
A refund, where appropriate.
​
Where suitable alternatives are available, Kick Start Movements may offer a transfer or booking credit before issuing a discretionary cash refund.
Between 7–14 days before the start date
Where a cancellation request is received between 7 and 14 days before the programme start date, cash refunds are generally not available.
Where possible and at the discretion of Kick Start Movements, we may offer:

A transfer to another available programme or date; or
-
A booking credit for future use.
Any transfer or booking credit is subject to availability and may have an expiry date.

Less Than 7 Days Before the Start Date
​
Cancellations made less than 7 days before the programme start date are generally non-refundable due to staffing, venue, equipment and scheduling commitments already made.
In exceptional circumstances, and entirely at the discretion of Kick Start Movements, a transfer or booking credit may be considered.
​
There is no automatic entitlement to a transfer, credit or discretionary refund.
Cancellations After a Camp Has Started
Once a camp has commenced, bookings are non-refundable where a child:

Chooses not to continue attending;
-
Misses one or more camp days;
-
Becomes unavailable due to holidays or other commitments;
-
Arrives late or leaves early; or
-
Does not attend for personal reasons.
​
A five-day camp booking is made for a place on the complete programme. Individual days cannot be cancelled, transferred or refunded separately by the customer once the camp has commenced.
This does not affect the provisions below where Kick Start Movements itself is required to cancel one or more scheduled camp days.
Severe Weather & Camp Disruption
The safety of children and staff is our priority.

Kick Start Movements may modify, postpone, relocate, reschedule or cancel activities where severe weather or other circumstances make it unsafe or impractical for the programme to operate as originally planned.
Where reasonably possible, we will first consider alternative arrangements, which may include:

Modifying planned activities;
-
Adjusting the daily schedule;
-
Using suitable indoor facilities where available;
-
Rescheduling an affected session;
-
Providing a replacement camp day;
-
Offering a transfer; or
-
Providing a booking credit.
Cancellation Before the Camp Begins
If Kick Start Movements cancels an entire five-day camp before it begins, parents or guardians will be offe an appropriate remedy, which may include a transfer, booking credit or refund in accordance with applicable consumer rights.
Cancellation After the Camp Begins
Where a five-day camp has already started and Kick Start Movements is required to cancel one or more remaining full camp days, any applicable remedy will relate only to the portion of the programme that was not delivered.

Depending on the circumstances, this may include:
​

A replacement camp day or session;
-
A transfer to another available programme;
-
A booking credit reflecting the affected portion of the programme; or
-
A proportionate refund where appropriate.
​
For example, where three days of a five-day camp have been successfully delivered and the remaining two full days are cancelled, any applicable credit or proportionate refund will relate to the two undelivered days only.
The three camp days already delivered are not refundable.
​
Where only part of a camp day is affected, Kick Start Movements will assess whether a replacement session, booking credit or other remedy is appropriate based on the amount of the scheduled programme that was delivered.
Parent Decisions Due to Weather
Where a camp is operating as scheduled and Kick Start Movements has confirmed that the programme is proceeding, refunds or booking credits will not normally be provided where a parent or guardian independently decides not to send their child because of weather conditions.

Decisions to cancel, postpone, relocate or modify a KSM programme on safety grounds will be made by Kick Start Movements based on the conditions affecting the programme, venue and participants.
In-Term School Classes
Participating Schools Only
Kick Start Movements In-Term School Classes are currently available only to children attending participating schools in which the programme is being delivered.
​
Parents and guardians are responsible for checking that their child's school is participating in the programme before completing a booking.
​
Where a booking is made in error for a child who does not attend a participating school, the parent or guardian should contact Kick Start Movements as soon as possible.
​
Once we confirm that the child is not eligible to participate, the booking will be cancelled and the payment refunded. Where legally permitted, genuinely non-refundable third-party transaction or payment-processing costs directly associated with the customer’s mistaken booking may be deducted from the refund.
​
No deduction will be made where doing so would conflict with the customer's statutory rights.
​
Kick Start Movements reserves the right to cancel an ineligible booking where it is identified that the child does not attend the participating school associated with the programme.
Term-Based Bookings
In-Term School Classes are booked and paid for on a term or academic-year basis.
​
The purchase of a term provides the child with a place in the programme for that specific school term. The purchase of a Full Year Programme provides the child with a place across all three scheduled programme terms for that academic year, subject to the programme continuing to operate at the participating school.
​
Fees are based on securing a place for the relevant booking period and are not calculated solely on attendance at individual weekly sessions.
​
For this reason, missed individual classes cannot normally be refunded or credited.
Cancellation Before an In-Term Programme Begins
Where a parent or guardian wishes to cancel an In-Term School Class booking before the relevant term begins, they should contact Kick Start Movements as early as possible.
​
Depending on the amount of notice provided and the circumstances, Kick Start Movements may offer:
​

A transfer, where a suitable alternative programme is available;
-
A booking credit for future use; or
-
A full or partial refund where appropriate.
Where staffing and programme commitments have already been made based on confirmed enrolment, late cancellations may not qualify for a cash refund.
​
Any statutory cancellation rights applicable to the booking remain unaffected.
Cancellation After a School Term Has Begun
Once an In-Term School Class term has commenced, cash refunds are generally not available where a child stops attending for personal reasons.

This includes:
​

Choosing to discontinue participation;
-
Holidays;
-
Schedule conflicts;
-
Missed individual sessions;
-
Repeated non-attendance;
-
Late arrival or early collection; or
-
Other personal circumstances unrelated to KSM's ability to deliver the programme.
In exceptional circumstances, Kick Start Movements may consider a transfer, booking credit or partial refund.
Any such arrangement is discretionary and will be considered based on the circumstances of the individual case.
Joining a Programme After a Term Has Started
Where spaces remain available, Kick Start Movements may allow a child to join an In-Term School Class after the term has begun.
​
The applicable price, where different from the standard term fee, will be confirmed before booking.
​
Any reduced or adjusted price offered for late entry is discretionary and does not create an entitlement to retrospective discounts or refunds for other participants.
Individual Class Cancellations
Where an individual In-Term School Class cannot take place, Kick Start Movements will, where reasonably possible, attempt to:

Reschedule the class;
-
Provide a replacement session;
-
Extend the programme schedule;
-
Provide an equivalent alternative session; or
-
Make another reasonable arrangement.
​
A cash refund will not normally be issued automatically for a single cancelled class where a reasonable replacement or rescheduled session is provided.
​
Where an affected session cannot reasonably be replaced or rescheduled, Kick Start Movements will assess whether a proportionate booking credit, price adjustment or other remedy is appropriate.
School Closures & Access Restrictions
In-Term School Classes operate in partnership with participating schools and depend on access to the relevant school facilities.

Where a session is affected by:
​

An unexpected school closure;
-
Emergency closure;
-
Severe weather;
-
Building access restrictions;
-
Public health measures;
-
A direction from the school; or
-
Other circumstances affecting access to the venue,
​
Kick Start Movements will, where reasonably possible, seek to reschedule or replace the affected session.
Where this is not reasonably possible, any appropriate remedy will be assessed based on the circumstances and the portion of the programme affected.
Child Leaves or Changes School
Where a child leaves or transfers from a participating school during a paid term or academic year, the parent or guardian should contact Kick Start Movements as soon as possible.

A refund is not automatically available, as the programme place has been reserved and staffing and programme costs may already have been committed.
​
Depending on the circumstances and the remaining duration of the booking, Kick Start Movements may consider:
​

A transfer to another suitable KSM programme;
-
A booking credit;
-
A partial refund in exceptional circumstances; or
-
Another reasonable arrangement.
​
Any discretionary accommodation will be assessed on an individual basis.
Full Year Programme
The Full Year Programme is sold as a discounted academic-year booking covering all three scheduled programme terms.
​
The Full Year Programme price reflects a discount compared with purchasing each school term individually.
If a parent or guardian chooses to withdraw a child during the academic year, any discretionary refund calculation may take account of:

The number of terms or sessions already delivered;
-
The standard individual price of the term or terms already used;
-
Any discount received through purchasing the Full Year Programme; and
-
Any other relevant commitments already made in connection with the booking.
​
Where a discretionary partial refund is approved, completed terms may be recalculated at their standard individual term price before determining any remaining refundable balance.
​
For example, the Full Year Programme should not be treated as three equal discounted portions where a customer voluntarily withdraws after already receiving the benefit of one or more completed terms.
​
This section does not limit any statutory remedy that may apply where Kick Start Movements is unable to deliver the programme as agreed.
General Terms Applying to All Programmes
Refunds, booking credits or replacement sessions cannot normally be provided for:

Missed classes;
-
Missed camp days;
-
Non-attendance;
-
Late arrivals;
-
Early departures;
-
Holidays;
-
Schedule conflicts; or
-
Other personal circumstances.
​
Staffing, venue, equipment and programme costs are planned based on confirmed bookings rather than individual attendance.
Missed Sessions & Non-Attendance
Where a child is unable to attend due to illness, injury or exceptional medical circumstances, parents or guardians should contact Kick Start Movements as soon as possible.
Refunds are not automatically available for absence due to illness or injury.
Depending on the circumstances, availability and notice provided, Kick Start Movements may, at its discretion, offer:

A transfer to another available programme;
-
A booking credit for future use; or
-
A partial refund in exceptional circumstances.
​
Medical documentation may be requested where a refund, transfer or credit is being considered on medical grounds.
​
Any accommodation offered under this section is considered individually and does not create an automatic entitlement to the same outcome in other cases.
Illness, Injury or Medical Circumstances
Where Kick Start Movements is unable to deliver a class, camp, programme or event as planned, we will assess the circumstances and, where appropriate, may provide:

A replacement session;
-
A rescheduled date;
-
A transfer to another available programme;
-
A booking credit;
-
A proportionate price reduction or refund; or
-
A full refund where the programme cannot be delivered and no appropriate alternative remedy is available.
​
Where part of a programme has already been delivered, any applicable refund will normally reflect only the portion of the programme that was not delivered.
​
Nothing in this section limits the customer's statutory rights.
Cancellation by Kick Start Movements
Where availability allows, bookings may be transferred to:
​

Another date;
-
Another camp;
-
Another school term, where eligible; or
-
Another suitable KSM programme.
-
​
Transfer requests should be made as early as possible and are subject to availability.
​
A booking may normally only be transferred once.
​
Once a booking has been transferred, further transfers or discretionary cash refunds may not be available.
Bookings may not be resold or transferred to another person or family without the prior approval of Kick Start Movements.
Transfers
Where a booking credit is offered:

The credit must be used within the validity period stated when issued;
-
The credit is subject to availability on future programmes;
-
The credit cannot be exchanged for cash;
-
Any increase in the price of a future programme must be paid when booking; and
-
Any unused credit will lapse after its stated expiry date.
​
The value and expiry date of the credit will be confirmed when it is issued.
Booking Credits
Kick Start Movements reserves the right to refuse participation or remove a participant where behaviour is considered:
​
-
Unsafe;
-
Seriously disruptive;
-
Aggressive;
-
Threatening; or
-
Harmful to other participants, staff or the safe operation of the programme.
​
Where appropriate, we will aim to work collaboratively with parents and guardians to support the child and resolve concerns.
​
However, where participation must be ended due to serious or repeated behavioural or safety concerns, a refund may not be provided for remaining sessions or camp days.
Behaviour & Safety
Parents and guardians are responsible for providing accurate and up-to-date information regarding relevant medical conditions, allergies, behavioural needs and additional support requirements during the booking process.

This information allows Kick Start Movements to assess how we can safely and appropriately support each child.
​
Failure to disclose relevant information that may materially affect safety, participation or supervision requirements may result in participation being restricted or ended where reasonably necessary.
​
Any refund, transfer or credit in these circumstances will be considered based on the individual circumstances.
Additional Needs & Medical Information
Where a customer requests a discretionary refund, or where a refund results from an incorrect or ineligible booking made by the customer, genuinely non-refundable third-party booking, transaction or payment-processing costs may be deducted from the refund where legally permitted.
​
Such deductions will not be applied where the customer is legally entitled to reimbursement of those amounts.
Where a programme is cancelled by Kick Start Movements and a full refund is legally due, refunds will be handled in accordance with applicable consumer law.
Payment Processing & Third-Party Fees
Where a cash refund has been approved, it will be returned using the original payment method where reasonably possible.

Approved refunds will be processed within the applicable legal timeframe. The customer's bank or payment provider may require additional time before the refunded amount appears in the customer's account.
Refund Processing
We recognise that genuinely exceptional circumstances can arise.
​
Kick Start Movements may review individual cases outside the standard terms of this policy and may offer a transfer, booking credit, partial refund or other accommodation where appropriate.
​
A discretionary arrangement offered in one case does not create an obligation to provide the same outcome in another case.
​
Nothing in this policy affects the statutory rights of customers under applicable consumer law.
